- Prepaid company wallet
- A prepaid company wallet is a balance an agency holds for a corporate client, loaded in advance and debited by travel purchases; distribution, sale, refund and recall movements are tracked in an unchangeable ledger.
- Also known as: company wallet, corporate wallet, prepaid account, prepaid company wallet, company balance, deposit account
A prepaid company wallet is a balance a travel agency holds on behalf of its corporate client, from which employees' trips are paid. The company provides the balance in advance; as a flight, hotel or other service is purchased the amount is deducted, and if there is a refund it returns. Every movement stays as a separate line in a ledger. This structure lets the agency give corporate clients fast purchasing without taking credit risk.
How does a company wallet work?
A company wallet is built on separating balance loading from spending. The agency transfers the agreed amount to the company wallet. When an employee purchases a trip, the amount is debited from the wallet. If a purchase is cancelled and a refund arises, the refund is written back to the wallet. Unused balance can be taken back to the agency when needed.
A wallet ledger typically contains these movements:
- Distribution: the agency transfers balance to the company wallet.
- Sale: the amount deducted when a trip is purchased.
- Refund: the amount returned to the wallet after a cancellation or a partial failure.
- Recall: balance in the company wallet transferred back to the agency.
- Correction: a wrong entry fixed with a separate movement, without deleting it.
Company wallet, term credit account and card payment compared
The three methods arrange who pays for corporate travel, and when, in different ways. In a prepaid wallet the money comes before spending. In a term credit account the agency sells first and the company pays later. With card payment each purchase is charged to the card at that moment.
| Criterion | Prepaid company wallet | Term credit account | Card payment |
|---|---|---|---|
| Time of payment | Before spending | At the end of the term | At purchase |
| Agency receivable risk | None | Yes | None |
| Spending limit | Balance | Granted limit | Card limit |
| Reconciliation | Ledger and statement | Invoice and due date tracking | Card statement |
Why is a company wallet preferred?
A company wallet gives predictability to both the agency and the company. The agency does not accumulate uncollected sales. The company controls the ceiling of its travel spend with the balance and follows every expense from the ledger. For purchases based on approval, employees also do not need to use their own cards; an approved trip is paid straight from the wallet.
For example, a company provides the agency with a balance that covers a month of travel at the start of each month, and the agency distributes this amount to the company wallet. Every purchase and refund during the month appears as a separate line in the ledger. At the end of the month the company's finance team compares the statement with its own records and either carries the remaining balance to the next month or asks for it to be taken back, depending on its agreement with the agency.
The side of the wallet method that needs attention is balance tracking. If the balance runs out, purchases stop, so threshold alerts and regular balance planning matter. For the monthly check between agency and company see the reconciliation article.
Company wallet in Kurumsal.pro
In Kurumsal.pro the company wallet is the prepaid balance the agency holds for its corporate client, and it works with an unchangeable ledger. Balance is distributed and recalled from the agency panel; the company side only views it in the portal.
- Distribute balance: the agency transfers from its own wallet to the company wallet; if the agency balance is not enough, the transaction is not made.
- Recall: balance in the company wallet is transferred back to the agency.
- Alert threshold: when the balance falls below the threshold, a single notification goes to the company's finance role.
- Portal view: a user with finance authority sees the balance, the movement ledger (Excel), the monthly statement (PDF) and the invoices.
- Approved purchase: when final approval is given, the purchase is made from the company wallet.
- Payment path: the company wallet is used if the agency has opened it; where the agency allows it, card payment (3D Secure) is also offered.
The portal has no balance loading, no credit limit for the company and no term credit account. On installations where the platform's "hide wallet" setting is on, payments are not rejected for lack of balance, the balance can go negative and the option is named "Post to current account"; in this mode the portal's wallet pages are closed. For all payment paths see corporate travel payments and invoicing, and for management on the agency side see corporate travel agency software.

Frequently asked questions
What is a company wallet?
A company wallet is a prepaid balance a company holds at the agency for its travel spend. As employees' trips are purchased the amount is deducted from this balance, and if there is a refund it returns to the balance.
What is the difference between a company wallet and a credit account?
In a wallet the balance is provided first and then spent. In a term credit account the agency sells first and the company pays on a due date, so the agency carries receivable risk in between. In the Kurumsal.pro portal there is no credit or term account limit for a company.
Who loads the balance into the wallet?
In Kurumsal.pro the agency distributes balance from its own wallet to the company wallet. There is no balance loading from the portal; payment between the company and the agency is made under their own agreement.
What happens when the balance is not enough?
Payment from the company wallet is limited to the balance. When the balance falls below the threshold, the company's finance role receives a single alert, and the agency adds balance when needed. Where the agency allows it, an employee can also pay by card (3D Secure).
Can wallet movements be changed?
No. In Kurumsal.pro the wallet ledger cannot be changed; a mistake is corrected not by deletion but by a separate correction movement written to the ledger.
How does the company see wallet movements?
A user with finance authority sees the balance in the portal, the movement ledger as Excel, the monthly statement as PDF and the invoices.
