Corporate travel portal: frequently asked questions
The questions agencies and companies ask most when choosing a corporate travel portal, with short answers. Topic-specific questions also appear at the bottom of each page.
General questions
What is corporate travel management software?
Corporate travel management software is where employees search and book business trips within the travel policy, managers approve them and finance tracks budgets and spend. Kurumsal.pro offers this software to travel agencies, which open the portal for their corporate clients under their own brand and domain.
Who is Kurumsal.pro for?
Travel agencies and travel management companies (TMCs) that serve corporate clients. The agency opens the portal for its clients and manages companies and pricing from its own panel; on the company side, the company admin and employees use the portal.
Which products does the portal cover?
Flights, hotels, transfers, car rental, bus tickets, visas, tours, villas, yachts and activities. The agency decides which products each company sees; visas are off by default. Tours are the agency’s own tours.
Can travellers choose seats and add baggage in the portal?
Yes. Travellers pick seats on the seat map and add extra baggage, meals and other extras the airline offers; extras go into the basket and through the approval flow. See corporate flight booking for details.
Can employees buy bus tickets?
Yes. Employees search bus journeys, choose their seat on the live seat map, add the ticket to the basket and buy it, or send it for approval if the rules require. See corporate bus tickets.
Can travellers choose car rental protection?
Yes. The insurance and protection packages offered by the supplier are listed, compared and selected during the car rental booking. See corporate car rental.
How is the travel policy enforced?
The policy applies to the traveller and can be set for a company, branch, department, title grade or individual. There are 13 rule types, and each rule’s outcome is block, send for approval if breached, always send for approval, or inform only. Every search result is marked in policy, out of policy or blocked.
Can approvers approve from email?
Yes. The link in the approver’s email approves or rejects the request in one click. Each link works once and stays valid until the request’s option deadline. A reason is required to reject.
How are trips paid for?
Portal purchases are paid from a prepaid company wallet that the agency tops up. When the agency allows it, 3D Secure card payment is also available; card details are never stored and payments are taken in full, with no instalments. Bank transfer is not offered.
Is there a mobile app?
The portal is a responsive web app: search, the basket, My trips and email approvals all work in a phone browser. There is no separate iOS or Android app.
Does the portal support single sign-on (SSO)?
No. There is no SAML or OIDC single sign-on. Users sign in with email and password, with two-step verification (TOTP) that can be required by role and passwordless sign-in with passkeys.
How long does set-up take, and what does it cost?
DIJI.TECH states that set-up takes about a week on average and add-on modules are activated in one business day. You can subscribe to the software or buy the source code; pricing is by individual quotation. Request one through the demo and quote form.
Accounting integrations
Who is the invoice for a corporate sale issued to?
The invoice is always issued to the company itself, as a legal entity. The billing profile staff select at booking is used first; if there is no selection, the company's default profile applies, and otherwise the root company's default profile. A profile carries the title, tax number and tax office, address and invoice email.
Which accounting programs are integrated?
The platform code has Paraşüt, Luca and Logo Netsis as e-Invoice and e-Archive document generators, Arkman for account and ticket transfer, and SYS as a sales feed. Which one is used is decided at setup, according to the agency's own accounting choice.
Are Logo Tiger or Logo GO supported?
No. On the Logo side there is only a Logo Netsis connection. There is no ready-made connection for Logo Tiger, Logo GO, Mikro, Uyumsoft, Nilvera, İzibiz or Foriba.
Agency software
What is corporate travel agency software?
Corporate travel agency software is the back-office software an agency uses to manage its corporate clients: client records, client-specific pricing, balances, representatives, invoices and reports. In Kurumsal.pro this work is done in the corporate section of the agency panel, on the same infrastructure as the branded portal given to the client.
How is a new corporate client created?
The new client wizard has three steps: company details, contract model and allowed email domains, and the client admin. When the wizard finishes, the root company, the default billing profile, the client admin invitation and the default policy are created in a single operation.
Can clients be imported in bulk from Excel?
Yes. Clients are imported in bulk with an Excel or CSV template; the file is first previewed without writing anything, and records are matched by tax number or accounting code and then created or updated. An imported client does not automatically get an admin invitation or a default policy; the admin is invited afterwards and the policy is defined in the portal.
Agent-assisted corporate booking
What is agent-assisted corporate booking?
It is the way agency staff book on behalf of a company: they select a company in the panel's top bar, optionally pick one of its employees, and search, build the cart and pay as that company. After the selection, every search screen works with the company's price tier, fee rules and Turkish Airlines corporate code.
Is agent-assisted booking a call center product?
No. The product does not include a switchboard, IVR or CRM. In reports this channel carries the label Call center, but it simply means a sale made by agency staff from the panel on behalf of a company. The calls themselves run on the agency's own communication tools.
Does an agent-assisted booking go to approval?
No. The company's travel policy is still evaluated and any violation is recorded, but the request is not sent into the company's approval flow. Violations show up in the company's policy compliance report as a channel separate from portal sales.
AI travel assistant
What is Diji?
Diji is the AI assistant that runs inside the portal with the employee's own permissions; it does not apply changes without your approval. It opens as a chat panel on every signed-in page of the portal your agency gives its corporate clients, and it works in the portal's language, Turkish or English.
What data can Diji access?
Diji reaches only the data the signed-in employee can access in the portal. The action catalogue it sees is filtered by the employee's action permissions, and every call is checked again against the employee's session, role and data scope. By instruction it does not work with agency, tenant or profit margin data.
Can Diji make a change without the user's approval?
No. Actions that change something are presented to the user as an approval card according to their risk class and are not applied until the user approves. The user can grant permission valid for the length of a conversation only for an action in the change class; deletions and irreversible actions ask for a separate approval every time.
Car rental for business travel
Is business car rental the same as corporate fleet leasing?
No. Corporate fleet leasing is a long-term contract for vehicles a company uses for months or years. Business car rental is a daily rental for a specific trip. The Kurumsal.pro portal manages the second type: the employee searches for a car for the trip, selects it, and buys it under policy or sends it for approval.
Can rental insurance and coverage packages be selected in the portal?
Yes. When a car is selected, the insurance and coverage packages offered by the supplier are listed. The price of each package is shown for the rental period, and the covers appear line by line in a comparison table. The employee selects a package or continues without one, and the chosen package is added to the same cart line as the car.
How are coverage packages compared?
In the comparison table each cover is a row and each package is a column. A cell shows whether the cover is included in the package, not included, or the value given by the supplier; if the supplier sends a description, it is also shown on the cover heading and in the cell. The difference between packages is therefore visible next to the price at a glance.
Company admin panel
What is the company admin panel?
It is the Company management area of the portal your agency gives its corporate client. The company administrator uses it to manage the organization tree, departments, billing profiles, roles, staff accounts, travel policies, approval flows, budgets and security settings.
How many preset roles does the portal have?
Seven preset roles are created automatically for each company: Traveler, Booker, Approver, Company admin, Branch admin, Finance and Report viewer. Preset roles cannot be deleted or renamed; custom roles are created by taking one of them as a template.
How many staff can be uploaded from Excel?
A single Excel file can contain up to 5,000 rows. The system validates the file first and reports new rows, rows to be updated, invalid rows and any new departments that would be created, and gives the invalid rows as a CSV. Records are written only after the administrator confirms.
Corporate bus tickets
What is the corporate bus ticket module?
It is the section of the portal your agency gives its corporate clients where intercity bus trips are searched, seats are chosen and tickets are bought. The ticket sits in the same trip cart as the flight and hotel, and the company's travel policy, approval flow and billing profile apply to buses as well.
Can employees choose their bus seat in the portal?
Yes. The employee opens a trip from the search results, sees taken and free seats on the live seat map in the trip detail and selects a seat. The number of passengers is set by the seats selected; once the selection is complete the ticket is added to the cart and bought through the usual cart steps.
How is a bus search made?
The traveller types a city or terminal name into the departure and arrival fields, picks the travel date and searches for trips. The search is one-way; for the return journey a second search is made, and the two tickets can be collected in the same trip cart.
Corporate flight booking
How do employees book a corporate flight?
In the Kurumsal.pro portal the employee searches for a flight, picks the flight and fare family after checking the policy decision on the result row, and can add a seat, extra baggage and a meal. In the cart they complete the trip details and choose the invoice profile. If the cart is within policy and the budget is not exceeded it is purchased; otherwise it goes to approval with a justification.
Can seats, extra baggage and meals be selected in the portal?
Yes. Within the ancillary services the airline offers, the employee can choose a seat from the seat map, add extra baggage and select a meal. The chosen ancillaries appear on the same cart line as the flight and are included in the approval request. Airlines with ancillary services include Turkish Airlines, Pegasus, AJet, SunExpress and the airlines reached through TravelFusion.
How is the Turkish Airlines corporate code used in the portal?
The agency enters the company's Turkish Airlines corporate code in the client's record. When that company's employees search for flights, the code is added automatically to the search on the Turkish Airlines integration, and branches and subsidiaries inherit the parent company's code. Today the corporate code field is used only for Turkish Airlines (TK).
Corporate hotel booking
What does corporate hotel mean?
A corporate hotel booking is a business stay by company staff that is invoiced to the company. It is made under the company's travel policy, approval flow and invoice details. Kurumsal.pro runs this process in the portal your agency gives its corporate clients.
Can employees book more than one room?
Yes. The hotel search takes 1 to 6 rooms, and the number of adults and children and the children's ages are entered for each room. Multi-room selection is made on the hotel detail page, and the policy decision of each room is shown separately. Additional travelers are completed in the cart with their personal details. Adding extra travelers or guests requires the booker or guest-traveler permission; a user with only the Traveler role cannot complete a multi-person room.
Can different nightly hotel limits be set for different cities?
Yes. In the unit price limit rule you enter nightly amounts per city and an "other cities" row for cities that are not listed. Limits can be set in TRY, USD, EUR or GBP. The outcome of the rule can be to block, to send to approval on violation, to require approval every time, or to inform only.
Corporate payments and invoicing
Which payment methods does the corporate portal offer?
There are two: the prepaid company wallet that the agency allocates to the client, and card payment with 3D Secure. Card payment is available as long as the agency and the platform keep that path open. There is no bank transfer or EFT payment, no instalments and no balance top-up from the portal.
Who loads balance into the company wallet?
The agency does. The agency distributes balance from its own wallet to the company wallet and can take it back if needed. The portal has no top-up screen; when the balance drops below the threshold, a notification goes to the people in the company's finance role.
Are card details stored when paying by card?
No. Card payment goes through a 3D Secure redirect, card details are not stored in the portal and the payment is taken as a single charge. DIJI.TECH states that its payment infrastructure is PCI DSS compliant.
Corporate transfers
What is the corporate transfer module?
It is the section of the portal your agency gives its corporate clients where airport, hotel and address transfers are searched and added to the cart. The transfer stays in the same trip cart as the flight and hotel, and the company's travel policy, approval flow and billing profile apply to it as well.
What details are needed to search for a transfer?
The traveller picks one-way or round trip, types an airport, hotel or address into the pick-up and drop-off fields and selects the location with its coordinates. Then the outbound date and time, the return date and time for round trips, and the number of passengers and bags are entered.
Can the company control which vehicle class is used?
Yes. The category rule in the travel policy lists the allowed transfer vehicle classes. Because a policy scope can be set per grade, department, branch or person, a higher class can be opened only to certain grades; a choice outside the list is blocked or sent to approval, depending on the rule's outcome.
Corporate travel reporting
What is corporate travel reporting?
Corporate travel reporting means collecting flight, hotel, transfer, car and other travel spend made on behalf of a company into one source and reporting it by spend, policy compliance, approvals, budget and savings. In Kurumsal.pro the reports are fed by bookings made in the portal, so no separate data entry is needed.
Which reports does the corporate portal include?
On top of the overview page there are 11 reports: Spend, Routes and suppliers, Policy compliance, Approvals, Savings, After-sales, Who is where, Carbon, Budget, Finance and Sales breakdown. Each report has a KPI strip, a chart, a table and an export button.
Who can see which report?
A person with the report view permission opens all 11 reports. A person with only the finance permission sees Spend, Savings, Budget, Finance and Sales breakdown. In both cases the data is limited by the scope in the person's role, for example their department or company.
Corporate visas
What is corporate visa management?
It is opening the visa applications that company employees need for business travel in one system, collecting their documents and following their status. In Kurumsal.pro this runs in the portal your agency gives its corporate client; the agency carries out the application and the consulate makes the decision.
What does the visa regime table show?
For a holder of an ordinary passport of the selected nationality, it shows country by country whether the entry is visa-free, e-visa, visa on arrival or visa required, with the number of days allowed where there is one. The table is informational and comes from the regime table of the platform the agency uses; packages are consulted for the actual application.
Which applicant details come from the profile?
Nationality and passport details come from the employee's profile, and the applicant details are filled from it. If the passport has expired or no passport is on the profile, the portal shows this in the search and asks for the information to be updated. Passport and visa records on the profile carry a badge when they are about to expire.
Features
What are the core features of corporate travel management software?
The core features are travel policy, approval workflows, budget control, multi-product booking, central payment and invoicing, reporting and role-based permissions. In Kurumsal.pro these are spread across the screens of four roles: company admin, traveler, agency admin and agency staff.
Who uses Kurumsal.pro?
Kurumsal.pro is built for travel agencies and travel management companies (TMCs). The agency gives the portal to its corporate clients under its own brand and domain; the client company's admins and employees use that portal under their agency's account.
Can travelers select seats, extra baggage and meals in the portal?
Yes. When booking a flight, travelers choose the ancillary services the airline offers: a seat from the seat map, extra baggage and a meal. These services travel in the same cart and through the same approval flow as the rest of the trip.
Integrations
Which suppliers does the corporate portal work with?
The portal works with the suppliers that are active in the corporate agency's panel. The code registers connections such as Amadeus, Sabre, Travelport, Turkish Airlines (NDC), Pegasus, AJet and SunExpress for flights; Hotelbeds, RateHawk, WebBeds, GoGlobal, Juniper and TBO for hotels; Yolcu360, Avis, YesCar and Booking Agora for cars; and Biletall for bus.
Does the corporate client see the supplier's name?
No. The portal never shows the supplier name. Supplier, net price, markup, commission, cost and profit fields are removed from portal responses, and a response in which these fields cannot be separated safely is not sent to the portal at all.
Who makes the agreements with suppliers?
The agency provides the commercial agreement and the access details for each supplier. The software builds the technical connection: your agency's accounts are defined on the platform at setup and the portal searches with those accounts.
Payment integrations
How is a card payment taken in the corporate portal?
When staff bring the cart to the purchase step, they are redirected to the 3D Secure verification page. The charge is made as a single payment through the virtual POS or payment institution your agency uses in its panel, and card details are not stored on the platform.
Does the corporate portal need a separate virtual POS?
No. Card collection in the portal runs through the payment line your agency already uses in the panel; no separate POS is needed for the corporate channel. Which bank or payment institution is used is decided at setup.
Who switches card payment on and off?
Three layers decide together. The platform opens the card route on the corporate site, the agency allows card payment per company, and the company administrator can switch card payment on or off in the portal. A lower layer cannot open a route that an upper layer has closed.
Platform for agencies
What is a white label corporate travel portal?
A white label corporate travel portal is software built by an infrastructure provider and offered to corporate clients under the agency's own brand and domain. In Kurumsal.pro, DIJI.TECH provides the infrastructure, while the logo, colours, contact details and documents your client sees belong to your agency.
On which domain does the portal run?
The portal runs on the domain your agency chooses. A site can have several domains, and one of them is set as primary. The portal does not open until the domain is verified, and a domain registered to another site cannot be taken over.
Who does the setup, and how long does it take?
A DIJI.TECH platform admin does the setup with a 7-step wizard; the agency does not open a new portal from its own panel. DIJI.TECH states that setup takes one week on average and that activating an extra module takes one business day.
Pricing
Why is there no corporate travel software price on the site?
Every agency opens a different set of modules, chooses its own licence model and needs a different setup scope. DIJI.TECH therefore gives pricing only as a custom quote. The site shows no list price, per-user fee or package price.
Can Kurumsal.pro be rented, or can the source code be bought?
Both options exist. DIJI.TECH offers the software as a rental, used as a service, or as a source code purchase. Which one fits depends on your technical team, your growth plans and how much customisation you need.
How long does setup take?
DIJI.TECH states that setup takes about one week on average. Once the portal is live, opening a new module takes about one business day. The timeline also depends on domain verification and on how quickly your supplier details are handed over.
Security
How is data separated in the corporate portal?
Kurumsal.pro runs on a multi-tenant architecture, and the company and staff data of each tenant is kept in a separate database. The portal resolves which tenant an incoming request belongs to from its domain name; the portal does not open on a domain that has not been verified.
Can two-factor authentication be made mandatory?
Yes. Two-factor authentication is required by role. By default it is required for the company administrator, finance and approver roles and cannot be turned off for the company administrator. The company administrator changes the requirement for the other ready-made roles from the security screen of the portal.
Which two-factor method is used?
A 6-digit code generated by an authenticator app (TOTP) is used. Setup is done with a QR code or a manually entered key. The code step is valid for 5 minutes and allows at most 5 attempts. Two-factor authentication by SMS is not offered.
Self booking tool
What is the corporate booking portal?
It is the web screen where company employees search for and book flights, hotels and other products for business trips themselves. The portal applies the company's travel policy on every search result, sends requests to approval when needed and produces the documents of the purchased trip.
Is a self booking tool the same as an online booking tool (OBT)?
In practice the terms are used interchangeably. An online booking tool (OBT) is software in which employees book their own trips under policy rules, and self booking describes that way of using it. In Kurumsal.pro the tool is the corporate portal offered under the agency's own brand.
Which products can employees book in the portal?
The modules the agency has enabled and the company has made visible are listed: flights, hotels, transfers, car rental, bus, tours, villas, yachts and activities. The visa module is off by default and the agency switches it on per company. For tours, the agency's own tours are listed.
Tours, villas, yachts and activities
Which tours, villas, yachts and activities are listed in the corporate portal?
The tour module lists the agency's own tours. For villas, yachts and activities, content from the suppliers active on the tenant comes in addition to the agency's own inventory: Rentals United for villas, NauSYS and Booking Manager for yachts and Bedsonline for activities. Which supplier is active is decided at setup.
How is a corporate tour booked?
The employee searches for a tour by selecting a destination and month and filters the results by duration, theme, transport and tour type. The detail shows the programme, inclusions, exclusions and terms; the period and a single or double room type are chosen. For on-request tours a date is selected, and then the tour is added to the cart.
Are cleaning and deposit included in the villa price?
The villa detail shows that the price changes with the number of guests; the cleaning fee is written as a separate line or marked as included. The deposit is not included in the price: it is paid to the villa owner on arrival and refunded at departure if there is no damage. The employee sees all of this before adding to the cart.
All questions on the Tours, villas, yachts and activities page
Travel approval workflow
What is a travel approval workflow?
A travel approval workflow is the software flow in which authorised people approve a business trip before it is purchased. In the corporate portal, carts that are out of policy or over budget go for approval; the flow defines the levels, the approvers, the time limits and the price tolerance.
Which trips go for approval?
Policy and budget decide. If the cart contains an out-of-policy item and the rule outcome is approval, if a rule asks for approval in every case, or if a budget overrun is set to send for approval, the portal chooses the Send for approval path. Otherwise the employee buys directly.
Where do requests go if no approval flow is defined?
If no flow is defined for the company, a request that needs approval goes to the traveller's manager as a single level, or to the department manager if there is no manager. Once the company administrator defines a flow for a scope, requests of travellers in that scope follow its levels.
Travel budget control
What is travel budget control?
Travel budget control defines the upper limit a unit can spend on business travel in a given period and checks every request against it. In the corporate portal a budget is defined for a department, company or branch, and the company's chosen rule applies when the ceiling is exceeded.
For which periods can a budget be defined?
The budget period is chosen as month, quarter or fiscal year. Budgets whose period is open at the time of the request are evaluated. Each budget can apply to all products or only to selected ones, for example only flights and hotels.
What happens when a budget is exceeded?
The overrun rule chosen by the company applies. With Inform, the request continues; with Ask for justification, the traveller writes an explanation; with Send for approval, the request goes for approval even if it is within policy; with Block, the trip cannot be bought if the budget is not enough.
Travel policy software
What is travel policy software?
Travel policy software defines a company's business travel rules in a system and applies them automatically to every booking. In the corporate portal the rules are evaluated in search results, in the cart and at submission; an out-of-policy choice is blocked, sent for approval or only recorded, depending on the outcome of the rule.
Does the policy apply to the person booking or to the traveller?
It applies to the traveller. When an assistant books on behalf of an executive, the rules are evaluated against the executive's scope, not the assistant's. Bookings made on behalf of someone else therefore stay bound to the same policy.
How many rule types are there?
There are 13 rule types: unit price limit (city based), amount per person, trip total, item total, flight cabin, cabin allowed on long flights, hotel stars, category, minimum days before purchase, maximum percentage gap to the cheapest option, banned airline, risky country and approval on every request.
